YOUR TRIP INCLUSIONS
● Sightseeing of all scheduled locations as per the finalized itinerary. The itinerary is curated in consultation with you to ensure comfort and convenience throughout your journey.
● All buffet meals—breakfast, lunch, and dinner—at designated hotels/restaurants, as specified in your selected holiday package. (Meal availability and variety may vary depending on the package chosen.)
● Accommodation on a single, double, or triple occupancy basis (solo or shared) is provided, based on your selected preference.
● Children below 5 years of age may share their parents’ bed at no additional cost (complimentary).
● All sightseeing, excursions, and transfers will be carried out as per the pre-approved itinerary, using a private vehicle exclusively assigned to you.
● All transport and parking charges, including driver allowances, are fully covered.
● Fuel charges, toll taxes, and applicable driver allowances are included in the package.
● All hotel expenses, including applicable taxes, are covered.
● All government taxes, including GST (IGST and SGST), are included in the package cost.
● A dedicated customer support team is available 24/7 via phone to assist you at any time during your journey.
● Assistance with luggage handling and vehicle coordination will be provided upon arrival at your designated destination.
● No additional or hidden charges apply. All costs are transparently stated upfront.
EXCLUSIONS
The following expenses are not included in the package and, if incurred, must be borne directly by the client.
● All personal expenses such as telephone calls/recharges, laundry services, tips, gratuities, soft or hard beverages, bottled water, luggage handling/portage, and similar out-of-pocket expenses.
● Any expenses not explicitly mentioned in the “Trip Inclusions” section above.
● Costs incurred for any additions or modifications to the original itinerary, including extra sightseeing or destinations not pre-approved in the final itinerary.
● Entry fees for monuments, parks, attractions, and any accompanying guide charges.
● Expenses arising due to natural calamities (landslides, floods, etc.), political disturbances, strikes, or riots. These must be paid directly by the customer on the spot, if applicable.
● Any cost escalation due to a rise in fuel prices, airline taxes, transportation fares, or hotel rates that occur after the booking and before departure.
● Any purchases of electronic items or accessories such as cameras, chargers, or other personal gadgets.
IMPORTANT NOTE
● Package rates are not applicable during peak festive periods or high travel seasons.
● Hotel accommodation is subject to availability at the time of reservation. In case the mentioned hotels are unavailable, similar category hotels with comparable amenities will be arranged as alternatives.
● Early or late check-ins are subject to room availability. Most hotels in the Char Dham region follow a standard check-in/check-out time of 12:00 noon.
● Cancellations are subject to charges as per company policy.
● Vehicles are arranged as per the itinerary and are not available for disposal. Air conditioning will be operational only while driving in the plains (e.g., Haridwar, Dehradun) and not during hill drives. Vehicle usage and amenities will vary based on the chosen package.
● Sightseeing is subject to political, traffic, and weather conditions. Itinerary adjustments may be made in case of extreme circumstances.
● If check-in is delayed or missed due to third-party services (e.g., pony, helicopter, palanquin), retention charges may apply. Subsequent accommodation will be subject to hotel availability.
● No refunds will be issued for missed sightseeing due to weather, political unrest, natural calamities, or other uncontrollable circumstances.
● Entry fees to monuments, parks, or similar attractions must be paid directly by the client at the site, as per the itinerary.
● Night travel is discouraged. Additional charges may apply if night travel is undertaken.
PAYMENT POLICY & SCHEDULE
● 25% of the total tour package cost is required at the time of booking.
● An additional 50% must be paid at least 30 days before the departure date.
● The remaining 25% (full payment) must be cleared at least 15 days before departure.

Cancellation Rules and Policy
If you or any member of your travel party wishes to cancel the booked holiday tour package, a written notice or email must be submitted to our office. The applicable cancellation charges will be levied as per the cancellation policy outlined below.
● Cancellation charges are applicable per individual.
● If cancellation occurs between 30 to 16 days prior to the departure date: 50% of the total package cost will be charged.
● If cancellation occurs within 15 days of the departure date: 100% of the package cost will be charged.
● No-show or cancellation after the commencement of the tour: 100% of the package cost will be charged.
When/If we cancel or make changes to the holiday tour plan/package
All travel arrangements are planned in advance, and it is rare for us to make changes or cancellations. However, we reserve the right to do so if necessary, due to unforeseen internal or external circumstances. In such cases, you will be informed as early as possible along with an explanation for the change or cancellation.
If we are unable to provide any part of the travel arrangements due to circumstances beyond our control (such as political unrest or adverse weather conditions), the following options apply:
● If the tour has not yet started, we will offer alternative travel dates. These will only be confirmed upon your approval.
● If the tour has already commenced, a partial refund will be issued after deducting the portion of the tour already utilized.
● Our maximum liability will be limited to the amount paid to us for the tour package.
Rules and policy related to the change of tour plan
Only the individual who has made the booking can request a change to the tour plan, and this request must be submitted in writing. We will make every effort to accommodate the requested changes (such as date or accommodation changes); however, we cannot guarantee availability.
Any additional cost arising from these modifications will be borne solely by the client.
Rules and policy for grievance notification and handling
If you encounter any issues during your trip, please report them immediately to the relevant service provider (such as driver, transporter, hotel staff) and/or to our company representative. They will do their best to resolve the issue on-site.
If the issue remains unresolved, you must send us a written complaint within 28 days of returning from the tour. Please include all relevant details, including your booking reference number.
While we will work diligently with the service providers to address the concern, please note that third-party contractors are independent entities, and we cannot be held liable for actions or services outside our direct control.
Our Liability to You
We are committed to ensuring that the travel arrangements you book with us are delivered as promised. If a part of your tour is not provided due to the fault or negligence of our staff, agents, or partners, and this impacts your experience, we will offer appropriate compensation, limited to the value of the affected portion of the tour.
Please note that while we coordinate services such as transportation and accommodation, these are often provided by third-party vendors. In such cases, we are not liable for their actions, delays, or service quality, though we will do our best to assist in resolving any issues that arise.
As a guest, you are responsible for your personal conduct and belongings during the tour. While we strive to support your journey in every way, we are not liable for loss or damage to your personal property, travel documents, or luggage at any stage of the trip.
Travel Insurance
We strongly recommend that you obtain comprehensive travel insurance to cover unexpected events such as cancellations, medical emergencies, or loss of belongings. Purchasing insurance is the responsibility of each traveler, and we are not liable for any costs incurred due to lack of coverage.
Accuracy of Information
We strive to provide accurate and up-to-date information about your travel experience. Visuals such as hotel images are provided by our partner properties and may differ slightly from actual conditions due to seasonal or operational variations.
While we do our best to deliver on all agreed experiences, slight deviations may occur due to practical reasons. We appreciate your understanding and flexibility.

Price Adjustments & Tour Modifications
If there are any changes in pricing due to operational factors or external conditions, we will inform you at the earliest opportunity. No changes will be implemented without your approval. Please note, we are unable to offer refunds for any services that are not used by the traveler during the tour.
Any additional charges (if applicable) will be disclosed at the time of booking or before tour confirmation.
Payment Timeline
To confirm your booking, an advance payment is required. The remaining balance must be cleared at least 35 days prior to your tour’s start date. Incomplete payments may result in cancellation of your booking and deposit forfeiture, in accordance with our cancellation policy.

Travel Related Tips Photography
All kinds of cameras, including the DSLR, Still cameras, the home cameras and the video cameras among others are allowed towards usage in the Himalayas. Their use is prohibited inside the temples.
COMMUNICATION
You are advised to carry with you your cell phone. The STD/ISD phone facility is available in many places. Badrinath and Kedarnath regions have good Reliance mobile communicational connectivity. The BSNL numbers work at almost regions and places of the trip. There may be times when connecting to others might be a problem. Kindly contact us on our Hardwar number if you have to send an urgent message.
Change in travel arrangements/itineraries
We have the right to change the itineraries and the travel arrangements of the Chardham tour, without providing you with a notice. Road, weather and other external and internal changes may call for changes.
FITNESS
We advise you to start exercising regularly to attain fit and lean shape, as the trip may ask for physical fitness. Stress on the aerobic exercises like running, jogging, daily walk and others so that your lung and heart is in good health when you embark on the tour. While the porters will carry your luggage. You should be physically fit enough to carry a small bag containing your essential travel items. The necessary items that you should carry along with you include a filled and clean water bottle, snacks, small scissors, safety pins, matches (waterproof), lighter, thermometer, Electral (or any other ORS) packets, neoprene powder/cream, a heat balm for joint/muscular pain, extra cloth, first aid kit, sun hat, camera and its film, dry fruits, chopsticks, light-weight rain gear and Vicks Vaporub/Vicks Inhaler among others.
Altitude Sickness
This environment-related health condition can affect anyone. It may happen when a person ascends to a great height/elevation in short time period so that he/she cannot fully acclimatize to the surrounding air pressure. Kindly consult your doctor towards the same and also read “Trekking” book that will have a chapter on overcoming the problem.
Antibiotics and Anti-Inflammatory Medicines to Carry
Kindly carry with you antibiotics including Bactrim DS or Septran DS (a combination of Sulfamethoxazole/Trimethoprim. The anti-inflammatory drugs that you carry should include aspirin, avil, brufen/mortin or any other potent painkiller. We also recommend a skin antibiotic (for instance neomycin) and a sunscreen lotion with high SPF.
INSURANCE
We strongly recommend that you buy a travel insurance for the Chardham Trip or in any other way and stay insured for the tour. We recommend purchasing comprehensive travel insurance covering hospitalization, emergency rescue, illness, and other travel-related contingencies.
Under no circumstances can we be held responsible for extra/healthcare expenses, health claims, mishaps, loss of luggage etc.

We recommend that you carry you both light and warm clothes. You will feel warm inside the vehicle but once out in the open, the cold Himalayan winds can be experienced. Evenings are still colder. We recommend that you carry with you clothing including:

A short briefing programmed will be conducted the day you arrive at Hardwar. All participants must attend this program before group departure.
